Corona virus (Covid-19) Company Policy
In this coronavirus company policy, all the essential guidelines Aspire employees should follow during the coronavirus outbreak and temporary alterations of existing sick leave and work from home policies as advised by the Government.
POLICY BRIEF AND PURPOSE
This company policy includes the measures we are actively taking to mitigate the spread of the coronavirus. You are required to follow all these rules diligently, to sustain a healthy and safe workplace in this unique environment for customers and colleagues to ensure public safety. It is important that as a company we all respond responsibly and transparently to these health precautions. We assure you that we will always treat your private health and personal data with high confidentiality and sensitivity.
This coronavirus (Covid-19) company policy is susceptible to changes with the introduction of additional governmental guidelines. If so, we will update you as soon as possible by emailing our account customers and ensure staff read, understand and follow the latest guidelines.
SCOPE
This coronavirus policy applies to all our employees who physically work in our office(s)or drive vehicles on behalf of the company to ensure we collectively and uniformly respond to this challenge.
POLICY ELEMENTS
Here, we outline the required actions employees should take to protect themselves and their co-workers from a potential coronavirus infection.
SICK LEAVE ARRANGEMENTS
- If you have cold symptoms, such as cough/sneezing/fever, or feel poorly, you must advise the director/owner and request sick leave or work from home if possible.
- If you have a positive COVID-19 diagnosis, you can return to the office, and drive our vehicles only after you have fully recovered, with a doctor’s note confirming your recovery.
WORK FROM HOME REQUESTS
Information to our control staff and office workers
- If you are feeling ill, but you are able to work, you can request to work from home.
- If you have recently returned from areas with a high number of COVID-19 cases we will ask you to work from home for 14 calendar days and return to the office only if you are fully recovered from COVID-19. You will also be asked not to come into physical contact with any colleagues during this time.
- If you have been in close contact with someone infected by COVID-19, with high chances of being infected yourself, request to work from home. You will also be asked not to come into physical contact with any of your colleagues during this time.
- If you are a parent and you have to stay at home with your children, request to work from home. Follow up with your director/owner to make arrangements and set expectations.
- If you need to provide care to a family member infected by COVID-19, request to work from home, you will only be permitted to return to the office 14 calendar days after your family member has fully recovered, or you have a doctor’s note confirming that you do not have the virus. You will also be asked not to come into contact with any colleagues during this time.
Information for our drivers

You will also be asked not to come into contact with any colleagues during this time.
- If you are a parent and you have to stay at home to care for your children infected by COVID-19,we will ask you not to work for 14 calendar days and return to driving only after your family member has fully recovered, provided that you are fully recovered or you have a doctor’s note confirming that you do not have the virus. You will also be asked not to come into contact with any colleagues during this time.
TRAVELING/COMMUTING MEASURES:
- All work trips and events – will be cancelled/postponed until further notice.
- In-person meetings should be carried out virtually where possible, especially with non-company parties (e.g. contractors, suppliers, accountants, solicitors, interviews and team meetings).
- Office staff who commute to the office by public transportation and do not have other alternatives can request to work from home as a precaution.
- Staff planning to travel voluntarily to a high-risk country with increased COVID-19 cases, we will ask you to work from home for 14 calendar days. You will also be asked not to come into physical contact with any colleagues during this time.
GENERAL HYGIENE RULES:
All staff
- Wash your hands after using the toilet, before eating, and if you cough/sneeze into your hands (follow the 20 second hand-washing rule). You can also use the sanitizers you will find around the office.
- Cough/sneeze into your sleeve, preferably into your elbow. If you use a tissue, discard it properly and clean/sanitise your hands immediately.
- Open windows regularly to ensure open ventilation.
- Avoid touching your face, particularly eyes, nose, and mouth with your hands to prevent from getting infected.
- If you find yourself coughing/sneezing on a regular basis, avoid close physical contact with your co-workers and take extra precautionary measures (such as requesting sick leave).
Office staff
- In order to protect our customers and staff the office staff to protect the customers/other staff members and themselves. Sanitising equipment is provided to achieve this task, a check sheet (attachment 1) must be completed on an hourly & daily basis and appropriate records must be maintained. After each customer has been in the office the staff will wipe down door handles inside and out, the desk and the card machine will also be wiped and at the end of each shift prior to hand over. Office staff must wipe all computers/keyboards desk phones and card machine.
- Signage will be placed in the office windows and on the doors advising of the 2 metre social distancing guidelines(attachment 2). 2 metre guidelines will also be taped out on the floor where appropriate.
- Only one member of staff will be on shift at any one time, staff change over’s will be managed appropriately to ensure the social distancing rules are applied at all times, and no drivers will be allowed into the office.
- The office will be cleaned and doors and door handle’s regularly sanitised on an hourly basis and after every customer, using the appropriate sanitising products.
- All PPE and cleaning products must be disposed of in line with the government recommendations, they will be kept separate from general waste and disposed of in line with recommended waste disposal and clearly labelled as clinical waste.
- Only one customer will be allowed into the office at any one time, if required staff will advise passengers to queue away from the platforms edge ensuring social distance/passenger safety at all times, as the situation requires.
- When taking payment from customers the recipient taking the payments will wear gloves and customers will be encouraged to make card payments where possible and card machines will be clinically wiped after each transaction
Drivers
- Drivers are to wear gloves and masks, also hand sanitizer will be provided in all vehicles
- Drivers to clean door handles and windows after each passenger with sanitizer
- Vehicles are to be kept clean and tidy at all times and regularly cleaned inside and out and after each passenger.
- All drivers will wear the appropriate PPE gloves when taking payment and must sanitise card machines after each use.
This policy has been created by the Director of Aspire Executive, with the guidance of the Government website. This policy is subject to constant review and updates. All employees MUST read and understand all requirements along with any updates.
